METAdrasi – Action for Migration and Development (“METAdrasi”), with the support of UNHCR, implements the Adama project, which links asylum seekers and beneficiaries of international protection with employment opportunities. To facilitate jobseekers and employers (collectively, “Users”), METAdrasi operates the Adama Job Center website and platform at adamajobcenter.metadrasi.org (the “Website” or “Platform”).

We are committed to protecting your personal data. We take appropriate technical and organizational measures designed to preserve the confidentiality, integrity, availability and security of data processed through the Platform.

We process personal data in accordance with Regulation (EU) 2016/679 (the General Data Protection Regulation or “GDPR”), Greek Law 4624/2019, applicable decisions and guidance of competent data protection authorities, and the EU ePrivacy rules as implemented in Greek law.

3. Data collected by automated means

When you use the Website, your device automatically provides technical and usage information that enables us to operate, secure and improve the service. This may include an IP address or another device identifier, device type, operating-system and browser information, and information or statistics about your interaction with the Website.

3.1 Chatbot interactions

The Platform includes a chatbot that assists with navigation and general employment-related support. The chatbot is not intended to collect or retain personal data. If you voluntarily provide personal information in a conversation, it may be processed temporarily to generate a response. Chat content is not used for profiling. Please avoid submitting identification documents, health information or other sensitive information through the chatbot.

For further information about cookies and similar technologies, please read the Platform’s Cookies Policy: https://adamajobcenter.metadrasi.org/privacy-center/cookie-policy/

4. Purposes and lawful bases for processing

We process personal data only where we have a lawful basis. Depending on the activity, processing is necessary to take steps at a User’s request before entering into a contract, to provide the Platform’s services, to comply with legal obligations, to pursue legitimate interests that do not override Users’ rights, or is based on consent where consent is specifically requested.

We process data collected through the Website to:

  • Create and manage User accounts and authenticate access to the Platform.
  • Introduce jobseekers to relevant vacancies and enable them to apply.
  • Introduce employers to jobseekers whose experience may meet their recruitment needs.
  • Verify employer profiles and job postings.
  • Enable authorized METAdrasi and partner personnel to coordinate interviews and contact jobseekers.
  • Prepare jobseekers for interviews and provide employability, integration and related support available through the Adama Job Center.
  • Operate, maintain, secure, troubleshoot and improve the Website.
  • Respond to messages, requests and complaints and exercise or defend legal claims.
  • Comply with legal and regulatory obligations.
  • Produce anonymized and aggregate project data for monitoring, reporting and advocacy.

METAdrasi and UNHCR may produce or use anonymized and aggregate information related to the job-matching service for monitoring, reporting, advocacy and other legitimate project purposes. Information that has been irreversibly anonymized is not personal data.

5. Who receives and processes personal data

Personal data may be accessed only by authorized METAdrasi personnel, authorized project-partner personnel and Website maintenance personnel who need it for their duties. They are subject to confidentiality and data-protection obligations.

Where necessary to provide the Platform and its services, data may be processed by service providers and project partners, including:

  • 2NET, the Website development and hosting provider. The Website’s servers are stated to be located in Greece.
  • Microsoft, for office-productivity and cloud-storage services used for project administration.
  • CommCare, where used for project data collection, storage or processing.
  • Other professional, technical, communications or cloud-service providers engaged by METAdrasi where necessary for the service.

Processors act only on documented instructions, are subject to appropriate contractual safeguards and must protect personal data in accordance with applicable law. If personal data is transferred outside the European Economic Area, METAdrasi will use an applicable lawful transfer mechanism and safeguards required by the GDPR.

5.1 UNHCR

  • UNHCR supported the development of the Adama Job Center and is the owner of the Platform. This does not give UNHCR automatic access to personal data stored on the Platform.
  • METAdrasi may share statistical or anonymized information with UNHCR concerning the refugee job-matching service.
  • Where support, referral, monitoring or administrative assistance requires disclosure of identifiable personal data to UNHCR, this will occur only where there is an appropriate lawful basis and, where required, after the User has consented.
  • When UNHCR processes personal data under its mandate, its own data-protection framework applies, including its Policy on the Protection of Personal Data of Persons of Concern to UNHCR.

5.2 Jobseekers

When a jobseeker applies for a vacancy, the potential employer initially receives only information needed to evaluate the application, such as education and relevant experience. At this stage, the Platform does not disclose the jobseeker’s name, phone number, email address or address. Contact information is disclosed only after the employer specifically requests an interview.

If a jobseeker previously uploaded a separate CV document, information contained in that document may be viewable and downloadable in accordance with the Platform’s functionality. Jobseekers should avoid including information that is unnecessary for recruitment. Employers cannot view a jobseeker’s data unless the jobseeker has applied for a particular vacancy.

For recruitment decisions and their subsequent handling of applicant data, employers act as separate data controllers and must comply with applicable data-protection law. METAdrasi is not responsible for an employer’s independent processing outside the Platform or contrary to its obligations.

Authorized METAdrasi personnel may access the Platform database to view and, where necessary, download full jobseeker profile information and application-status information. Authorized METAdrasi and partner personnel may act as a liaison between employers and jobseekers and provide relevant employability or integration support.

5.3 Employers

An employer representative’s name and contact details may be available to authorized METAdrasi or project-partner personnel who conduct the employer-vetting process and coordinate with the selected jobseeker. The company profile and job postings, which should not contain unnecessary personal data, may be displayed on the publicly accessible Platform.

Personal data may also be disclosed where required by applicable law, a binding order, or a competent police, administrative, regulatory or judicial authority, or where necessary to establish, exercise or defend legal claims.

6. Data retention

METAdrasi retains personal data collected through the Website for as long as necessary to implement and administer the Adama project and provide the requested services, and thereafter only for any period required by applicable law or necessary to establish, exercise or defend legal claims.

Where a valid request for erasure applies, we will delete or anonymize the relevant data without undue delay, subject to legal limitations. Backup copies maintained by the Website hosting provider may be retained for up to 90 days before permanent deletion.

If the Adama project ends or UNHCR decides that the Platform will continue through another organization, METAdrasi will inform affected Users in advance. Personal data will be transferred to UNHCR or another implementing organization only where there is an appropriate lawful basis and, where required, after the User has consented. Following an authorized transfer, the recipient’s applicable privacy framework will govern its processing.

METAdrasi may retain and use irreversibly anonymized project data for reporting, monitoring and advocacy. Cookie-retention periods are explained in the Platform’s Cookies Policy.

7. Contacting us

You may contact the Adama Job Center through the Website contact form or contact METAdrasi at info@metadrasi.org, by telephone at +30 214 100 8700, or by post at 15, Mistaki Street, 111 41 Athens, Greece.

Only authorized METAdrasi or partner personnel who are bound by confidentiality obligations may access messages received through the Platform. We do not disclose those messages to third parties without the sender’s consent unless disclosure or retention is necessary to comply with law or to establish, exercise or defend legal claims.

8. Technical and organizational security measures

The Website uses TLS encryption to protect information transmitted during navigation. METAdrasi works with the Website hosting and maintenance provider to protect personal data and applies appropriate contractual, organizational and technical safeguards.

Access to personal data is role-based and limited to personnel and service providers who need the information for the processing activities assigned to them. No online service can guarantee absolute security; Users should protect their login credentials and notify us promptly if they suspect unauthorized access to an account.
